Set the agency and tracking information

Intuit’s setup asks for the business address, agency filing frequency and tracking start date. Confirm those entries against the actual account and filing instructions. Keep a record of the setup so later reports can explain which transactions were included from the beginning.

Review customer and shipping details

Intuit says automated rates depend on exemption status, where goods are sold or shipped and the product/service tax category. It uses the invoice shipping address, or the company address when no shipping address is entered. Missing location data therefore deserves review before approving the invoice.

Apply California district rules carefully

CDTFA distinguishes district transactions tax from district use tax on deliveries and prohibits using an average combined rate for all California sales. Confirm the address in its official lookup and review whether the retailer is engaged in the relevant district. Avoid simplifying the state’s rules into a single sourcing label.

Reconcile the liability report with payment records

Intuit’s liability report shows agencies, taxable sales and payments, and its payment workflow records the agency, bank and amount. Compare that report with the filed return and bank confirmation. Investigate adjustments separately so credits or penalties do not hide a mismatch in reported sales.
