Preserve the starting file and identify missing evidence

Begin with statements, transaction exports and a list of missing documents before changing old entries. IRS computerized-record standards require legible support, reconciliation with the books and return, and enough detail to identify source documents. A cleanup should improve that traceability, not simply make an unexplained balance disappear.

Reconcile cash and classify unexplained deposits

The IRS recommends reconciling the checking account monthly and recording statement items such as bank service charges. It also says to keep business and personal checking separate and identify whether deposits are business income, owner funds or loans. During cleanup, resolve those questions against evidence rather than treating every deposit as a sale.

Review the consequences before undoing reconciliations

Intuit says undoing a reconciliation also undoes every reconciliation after it and permanently deletes related attachments and reports. Its guidance identifies the primary admin, accountant user or in-house accountant as roles that can perform the action. Preserve needed records and examine the scope with the responsible user before proceeding.

Rebuild the affected statement and review audit history

After an undo, Intuit advises reconciling the affected statement again and checking transaction audit history because entries may have been changed manually. Keep a correction log with the reason, supporting evidence and affected period. Compare the rebuilt statement with the reports your CPA previously received so open questions are visible.

Set a closing date after the review is complete

QuickBooks Online supports closing the books through Settings, Account and settings, Advanced, Accounting and the Close the books setting. A closing date can trigger a warning or password prompt for changes on or before that date. Use it after reconciling and reviewing the period, with a process for documenting any later correction.
