Trace customer balances to unpaid invoices

Publication 334 identifies unpaid goods and services in accounts or notes receivable. As a working review, match each open amount to an invoice, credit and collection history. Separate a disputed job from a payment merely waiting to clear so follow-up reaches the right person.

Review supplier obligations before payment

For accrual tax treatment, Publication 538 ties expense recognition to the all-events test and economic performance. Maintain a practical payables queue with invoices, approvals and payment status. An unpaid bill and a future purchase request should not be treated as interchangeable obligations.

Resolve stale balances with evidence

IRS guidance limits bad-debt deductions to amounts previously included in income and says uncollected amounts never included by a cash-method taxpayer cannot be deducted as bad debts. Ask your CPA about tax treatment; in the books, document collection attempts and approved adjustments rather than silently clearing old invoices.

Connect both lists to cash planning

SBA includes receivables, payables and available cash among financial management tasks. Compare expected collections with planned supplier payments and payroll. Keep invoice and payment evidence together so the cash forecast can be updated when a customer disputes an amount or a vendor changes terms.
