Separate room assignments from paid time

Room lists explain where work occurred; payroll also needs the approved time and compensation instructions. Keep employee housekeeping records distinct from vendor cleaning invoices. Where staff move between properties, identify the employing entity and authorized allocation before processing the run.

Review differentials with the rest of the earnings

California regular-rate guidance includes shift differentials and the hourly value of applicable non-hourly compensation. Bring overnight premiums and approved incentives into the same review as ordinary hourly pay. Preserve the terms used for the calculation instead of entering only a net adjustment.

Keep schedule changes from obscuring leave balances

Record approved leave use alongside actual attendance. Available paid sick leave must appear on the wage statement or a separate writing in California. Reconcile adjustments when a supervisor changes a prior submission and retain the original explanation.

Plan around weekends without improvising paydays

Set the payroll cutoff so property managers know when approvals are due. DLSE’s general California rule requires at least twice-monthly designated paydays, subject to exceptions. Confirm the applicable arrangement and assign someone to resolve questions when a manager is covering guest operations.
