General information, not legal advice.

Keep assessment balances tied to each owner

An owner ledger explains charges, receipts and adjustments more clearly than a deposit total. Reconcile collections to bank activity and retain the approval behind credits or write-offs. Give the board an exceptions list for balances needing attention.

Separate operating activity from reserve records

Maintain distinct records for operating expenses and reserve activity under the association’s approved structure. Preserve invoices and transfer authorizations so a future reviewer can follow how a project was funded.

Assemble a board packet with supporting detail

Bring reconciliations, unpaid vendor bills and financial statements together for the board’s review. Compare spending with the approved budget and identify unresolved items. Your CPA or attorney advises on reporting obligations and legal requirements; Tidwell supports the books.

Document payroll and vendor approvals

If the association employs staff, retain approved hours and compensation instructions for payroll. Keep vendor payments attached to invoices and authorization records, especially when board responsibilities change.

Assessment and board handoff questions

Can HOA bookkeeping show overdue assessments?

An owner-level receivables report can identify open balances. The board and its attorney decide collection actions; bookkeeping supplies the underlying payment history.

Does Tidwell determine reserve funding requirements?

No. We organize reserve activity and supporting records for the association’s advisers and board, who direct the funding and reporting decisions.

What helps when an HOA changes treasurers?

Reconciled statements, owner balances, vendor obligations and documented approvals give the incoming treasurer a clearer starting point.
