General information, not legal advice.

Establish the employer and manager responsibilities

List which entity employs each person and who can approve a rate change or correction. Keep hourly and salary instructions distinct. When employees work across units, have the adviser resolve the employment arrangement before treating a location transfer as a payroll setup change.

Set one submission process around approved pay calendars

California allows changes in pay frequency with advance notice and compliance with payday requirements. Confirm the permitted schedule before consolidating unit routines. Publish internal submission deadlines and name a backup approver so a late manager response does not delay known wages.

Compare wage-statement identity with the employee file

California requires the employer’s legal name and address, pay-period dates and applicable hourly rates with corresponding hours on wage statements. Review those fields after a unit transfer or entity change. A familiar brand name does not replace the payroll record of the legal employer.

Return a reconciled labor allocation to each unit

After the approved run, reconcile unit allocations with total payroll and retain the explanation for shared staff. Use the same location references in the supporting records each period so management can investigate labor spending without recreating the time approval.
