Obtain written instructions for each role

Ask the church to identify the employer, compensation arrangement and authorized approver. Keep clergy questions with the CPA rather than applying a generic employee setup by assumption. For other staff, collect approved hourly or salary information and the effective date of any change.

Give recurring and occasional work a common cutoff

List scheduled services, office hours and occasional event assignments before the payroll deadline. California’s general rule calls for wages at least twice each calendar month on designated paydays, subject to exceptions. Have the adviser confirm the appropriate schedule for each arrangement, then maintain a backup approval contact.

Keep leave balances in the payroll handoff

California requires employers to show available paid sick leave on the wage statement or in a separate writing. Keep authorized leave usage and corrections with each pay period’s records. Ask the employment adviser to confirm how the church’s policy applies to the employee before configuring balances.

Prepare continuity for a change of treasurer

Retain the payroll calendar, approved instructions and unresolved questions in an organized handoff. Confirm who may authorize a correction. Tidwell’s role is processing and record support alongside the church’s advisers, with clergy-specific decisions returned to the CPA.
