QuickBooks for design practices and project fees
Project fees, consultant bills and reimbursable charges need to remain connected through the accounting file. Tidwell brings QuickBooks ProAdvisor expertise to that setup for architecture and engineering practices.

Distinguish fee categories from project identifiers
Keep the account list focused on income and cost categories. Assign consistent customer and project references to the underlying work, and preserve the signed fee schedule separately. Your CPA directs the recognition method for deposits and incomplete services.
Trial partial invoices against an accepted estimate
QuickBooks can produce multiple progress invoices from an accepted estimate. Use a representative design assignment to test billing stages and the remaining amount. Keep approved scope changes and disputed charges on an exceptions schedule so the report does not imply they have already been collected.

Review reimbursables before sending the next invoice
QuickBooks supports tracking expenses by customer and marking expenses as billable. Establish who approves consultant charges and which supporting documents are required. During cleanup, compare historical invoices with those records and reconcile the bank before treating an apparent balance as unpaid.
